What this gives you

A confirmed option, with the stay and turnover plan aligned.

Illustrative workflows. Actions depend on your systems, permissions and agreed service scope.

One service. The work around every stay.

More of the operation.
Less for you to chase.

Start with the workload, not a list of apps. We agree the systems, actions and responsibilities for your portfolio before activating the workflows.

01

Guest communication

Arrival instructions, property questions and stay updates, grounded in the right booking and house rules. Routine replies follow agreed permissions; sensitive conversations reach a person.

From ‘What’s the Wi-Fi?’ to a useful answer.
02

Cleaning & turnovers

Departure lists, same-day turnover plans, schedule changes and confirmation follow-ups. Our team coordinates with your cleaners; the people on site perform and confirm the work.

A changed checkout becomes an updated plan.
03

Maintenance & issue follow-up

Gather the problem, photos and property context. Follow approved troubleshooting, coordinate the designated local contact and keep the guest informed of confirmed next steps.

The issue has an owner, not just a message thread.
04

Reservations & revenue support

Availability checks, stay-extension opportunities, approved add-on offers and booking updates. Pricing boundaries and required approvals are agreed before action is taken.

An extra-night request gets the right checks.
05

Owner updates & back office

Prepare operational summaries, organize expenses and supporting records, and flag exceptions for review. Full accounting and financial execution follow their separately agreed scope.

Owners see what is confirmed—and what is still open.
06

Reviews & claims preparation

Draft review responses, surface recurring issues and organize evidence for authorized claims or disputes. Our team follows the case; the platform makes the final decision.

Feedback becomes follow-up, not another loose end.
07

Guest registration support

Track missing information, prepare submissions and check status for supported destinations and authorized portals. Required human review and document-handling rules stay in place.

Required paperwork moves through a defined process.
08

Listing & content support

Prepare clearer listing copy, property information, guest instructions and scoped marketing content. Publishing, campaigns and any additional implementation are agreed separately.

Your property knowledge becomes useful content.

Clear scope before access. Available actions depend on your connected systems, permissions and service agreement. Local teams still carry out physical work.

An empty night, a stay-extension request or an approved add-on can create an opportunity. The useful part is checking whether it fits the calendar, the property and your rules.

Guest registration, made visible

From missing details
to a checked submission.

Registration is a process, not a checkbox. Marzan can support the preparation and authorized digital steps, while Castle Host follows up on missing information and exceptions.

  • Required information tracked
  • Supported portal workflows
  • Submission status checked

We confirm the supported destination, portal access and review requirements before setup. Automation does not replace your local legal obligations.

Illustrative workflow · Late checkout
“Could we check out at 1 pm?”

One question. A whole operation behind the answer.

Cleaner availability unclear? Castle Host follows up before a checkout promise is made.

  1. 01

    Get the right context

Check the reservation, next arrival, property policy and available turnover information.

  2. 02

    Apply your rules

Prepare the permitted option. If timing or fees fall outside the agreed rules, ask the designated person.

  3. 03

    Coordinate the change

Once confirmed, update supported records and share the change with the guest and cleaning contact.

  4. 04

    Check the outcome

Verify the update where possible. A cleaner who has not confirmed remains an open follow-up—not a completed task.

Technology inside. Accountability outside.

Marzan is our tool.
Castle Host is your team.

You should not have to become an AI operator to get a better-run portfolio. We configure the workflows, define the handovers and keep the responsibilities clear.

Marzan supports the work.

Property context, response preparation, approved digital actions, scheduled checks and useful summaries.

Within connected systems and agreed permissions.

Our people own the handover.

Exceptions, unclear information, coordination and decisions that fall outside the permitted workflow.

Coverage and escalation are defined in your service plan.

You keep the boundaries.

Your accounts, operating rules, approval limits and the decisions you choose to retain.

Physical care stays with the designated local team.
Read-onlyDraft for reviewAsk for approvalAct under agreed rules

Different workflows can use different permission modes. Autonomy is a choice, not a blanket setting.

Built around your operation

Keep the context.
Improve the handoffs.

We start with your properties, systems and people. No universal integration promise. No forced software migration before we understand the work.

How we manage your technology
  1. 01

    Map the workload

Agree the properties, recurring tasks, local contacts and responsibilities.

  2. 02

    Connect with permission

Check system compatibility, organize property knowledge and define what can be read or changed.

  3. 03

    Test normal cases and exceptions

Review representative requests, approval boundaries and handovers before activating the agreed scope.

  4. 04

    Review and refine

Use operational feedback to improve instructions and follow-ups as the portfolio changes.

Service scope, access and human responsibility should be clear before the first workflow starts.

Read our privacy policy
Am I buying Castle Host’s service or a Marzan AI subscription?

Castle Host’s managed service. Marzan AI is our internal operations tool, used by our team to support the work agreed for your portfolio. This is not a separate self-service software subscription or another tool you have to manage.

Is this just automated guest messaging?

No. Guest conversations are one part of the service. Castle Host can also support booking administration, turnover coordination, maintenance follow-up, revenue opportunities, reviews, registration and reporting preparation. We agree which workflows and responsibilities apply to your operation.

Do I need to change my PMS or replace my team?

We start with the systems and people you already use. Compatibility is checked for the specific information and actions each workflow requires. Your cleaners, maintenance providers and local operators continue to look after the properties.

What can happen automatically, and what needs approval?

A workflow can be read-only, draft-first, approval-required or authorized under a standing rule. We define the permitted actions and escalation contacts during setup. Payments, refunds, cancellations and other consequential actions require explicit authority and supported system capabilities.

What happens when the AI is unsure or a guest has an urgent problem?

Missing information and decisions outside the agreed rules are routed to the designated person. Human coverage, urgent escalation and any response commitments are defined in your service agreement. An automated task does not replace an on-site emergency response.

What information does Marzan use?

The agreed property instructions, reservation context and connected records needed for the scoped workflows. Access, authorized recipients and document channels are defined during setup. Ask us to confirm storage, retention and model-provider data handling for your configuration before sharing sensitive information.

What is included, and what does it cost?

Marzan supports Castle Host’s managed service; it is not presented here as an additional software subscription. We confirm the workflows, systems, human responsibilities and any add-ons in your proposal. Custom integrations, advanced implementations and full accounting should not be assumed to be included in every plan.

Can I see how this would work for my properties?

Yes—book a portfolio walkthrough. We will discuss your actual workload, explain the relevant workflows and distinguish what is already configured from what needs setup for your operation. You do not need to send guest records, passwords or identity documents to book a call.
